Sharing Collaboration Resources with Others

       Did you know that you can easily share your Calendar, and other resources such as Email folders, Contact lists, Tasks and Notes with users at Sperry Rail Service? If you would like to share one of these resources with another user, please follow the steps below.

These steps will guide you through,

Sharing a resource:
  1. Login to http://mail.sperryrail.com using your email username and password. (If you do not have this information you may contact Sperry I.T. Support at 2037914548 option 4)
  2. Within the left most tool bar, locate the settings button and single left click on it. The button looks like a gear. You may also hover over the tool bar items to expand their descriptions.
  3. Within the settings view, locate "Sharing" and single left click on the plus sign to expand the list.
  4. Single left click on "Shared Resources".
  5. Within the "Shared Resources" view, single left click on the "New" button.
  6. Select the item you wish to share, "My Calendar", "My Contacts", "My Tasks"," My Notes" or an email Folder, then single left click on the "Next" button.
  7. At the next screen select the user, or multiple users, from the list that your resource will be shared with.
  8. Select an access level "Access" drop down menu. (Read Only: Users can only view content, Full Control: Users can Add, Change or Delete content)
  9. Single left click on the "Save" button.
  10. Contact the user, or users, you've shared your resources with and have them follow steps 1 - 6 in section "Connecting to a resource someone has shared with you" in this procedure.
Connecting to a resource someone has shared with you:
  1. Login to http://mail.sperryrail.com using your email username and password. (If you do not have this information you may contact Sperry I.T. Support at 2037914548 option 4)
  2. Within the left most tool bar, locate the settings button and single left click on it. The button looks like a gear. You may also hover over the tool bar items to expand their descriptions.
  3. Within the settings view, locate "Sharing" and single left click on the plus sign to expand the list.
  4. Single left click on "Mapped Resources".
  5. Within the Mapped Resources screen you may see items with a status of "Detached". Simply check the items you wish to connect to and single left click on the "Attach" button.
  6. In the next screen, provide a title for the new resource then single left click on the "Save" button.
Accessing and viewing the new resource:
  1. Within the left most tool bar, select a resource that contains another users shared content. Available resources are "Contacts", "Calendar", "Tasks" or "Notes" (Note: Shared email folders will automatically display as a gray folder within your main "Email" folders list as soon as you've attached the resource).
  2. Locate the title bar. You should see the title "My Contacts", "My Calendar", "My Tasks" or "My Notes". Single left click on the title to expand a list of available resources.
  3. Select an item from the list to update your screen with the content from that shared resource.
Add a shared resource to MS OUTLOOK:
  1. Follow steps 1 - 3 in section "Accessing and viewing the new resource".
  2. While viewing the shared resource, single left click on "Actions" - "Add to outlook". (Note: "Add to outlook" applies only to - Contacts, Calendars or Tasks)
  3. Within the "Add to outlook" screen, A. Select the version of outlook you are using (if applicable), B. Type a description and Title for the resource you wish to add to MS Outlook.
  4. Single left click on the "OK" button.
  5. The shared resource should now be available within your MS Outlook application.
